Payroll, Attendance & Full and Final Settlement Policy
Regitrust Services LLP internal HR policy for employees, interns, trainees, consultants receiving fixed monthly compensation, and staff.
1. Purpose
This Policy governs attendance, salary administration, payroll processing, leave, notice period obligations, recoveries, deductions, and Full & Final Settlement for all employees, trainees, interns, and staff engaged by Regitrust Services LLP.
2. Applicability
This Policy shall apply to all existing and future employees, interns, trainees, probationers, consultants receiving fixed monthly compensation, and contractual staff unless specifically exempted by management in writing.
3. Working Days & Hours
Working Days
Monday to Friday.
Working Hours
10:00 AM to 7:00 PM IST.
Employees are expected to remain available, responsive, and perform assigned duties during working hours.
4. Remote Work Policy
As Regitrust Services LLP operates on a Work From Home model, employees shall:
- Maintain a stable internet connection.
- Attend all scheduled meetings.
- Remain reachable through official communication channels.
- Submit assigned work within prescribed timelines.
- Provide daily or weekly work updates whenever required.
Failure to perform assigned duties may be treated as absence for payroll purposes.
5. Attendance
Salary shall be based upon:
- Attendance records;
- Work reports;
- Task completion records;
- Managerial verification.
The Company reserves the right to determine whether an employee was actively working during a particular period.
6. Leave Policy
During Probation
Leave shall generally not be granted except:
- Medical emergency;
- Family emergency;
- Prior written approval from management.
Unauthorized Leave
Any absence without prior approval shall be treated as Leave Without Pay (LWP).
7. Salary Payment
Salary shall be credited to the employee's bank account on or before the 7th day of the succeeding month.
The Company reserves the right to withhold processing where attendance, work records, handover obligations, recoveries, or disciplinary proceedings remain pending.
8. Leave Without Pay (LWP)
Salary shall be proportionately deducted for:
- Unapproved leave;
- Unauthorized absence;
- Failure to report to work;
- Failure to perform assigned work.
Half-day absence shall result in half-day salary deduction.
9. Probation
All new employees shall remain on probation unless otherwise specified in writing.
Confirmation of employment shall be solely at the discretion of Regitrust Services LLP.
The Company may extend probation, terminate employment, or discontinue engagement during probation.
10. Notice Period
During Probation
Either party shall provide:
- Seven (7) days written notice; or
- Salary in lieu of notice.
After Confirmation
Either party shall provide:
- Thirty (30) days written notice; or
- Salary in lieu of notice.
11. Failure to Serve Notice Period
The notice period requirement is a material and essential condition of employment.
If an employee:
- Resigns without serving the prescribed notice period;
- Abandons employment;
- Stops reporting to work;
- Fails to complete handover requirements;
- Remains absent without authorization;
- Refuses to complete transition responsibilities;
the Company shall have the right to:
- Recover notice pay;
- Adjust notice pay against salary and dues;
- Recover onboarding, administrative, recruitment, training, and transition costs where applicable;
- Withhold processing of Full & Final Settlement pending review.
12. Forfeiture, Recovery & Adjustment of Dues
The Employee expressly agrees that the Company shall have the right, at its sole discretion, to withhold, adjust, recover, set off, or forfeit any unpaid salary, stipend, incentives, reimbursements, bonus, leave encashment, or any other amount otherwise payable where the Employee:
- Fails to serve the required notice period;
- Abandons employment;
- Commits misconduct;
- Breaches confidentiality obligations;
- Causes financial or operational loss to the Company;
- Fails to return Company property;
- Fails to complete mandatory handover requirements;
- Violates any material provision of the Employment Agreement.
The Company's determination regarding recoveries and adjustments shall be final, subject to applicable law.
13. Company Property
Before cessation of employment, employees shall return:
- Laptops;
- Mobile devices;
- Documents;
- Client records;
- Passwords;
- Access credentials;
- Software licenses;
- Any other Company property.
The Company may withhold settlement until all assets are returned.
14. Confidentiality Breach
Any breach of confidentiality, unauthorized sharing of client information, misuse of Company data, or retention of records after termination may result in:
- Immediate termination;
- Recovery proceedings;
- Legal action;
- Forfeiture of pending dues to the extent permitted by law.
15. Full & Final Settlement
Upon resignation, termination, abandonment, or cessation of service, the Company shall prepare a Full & Final Settlement.
The Company may adjust:
- Notice pay;
- Absence deductions;
- Leave Without Pay;
- Asset recovery costs;
- Advances;
- Training costs;
- Administrative costs;
- Other dues recoverable from the employee.
Only the balance amount, if any, shall become payable.
16. Experience Letter
Experience Letters, Relieving Letters, and Service Certificates shall be issued only upon:
- Completion of exit formalities;
- Return of Company property;
- Completion of handover;
- Clearance of all recoveries and obligations.
Employees who abandon employment or fail to comply with exit obligations may be denied such documents at the Company's discretion.
17. Management Rights
The Management of Regitrust Services LLP reserves the right to interpret, amend, modify, suspend, or withdraw any provision of this Policy at any time.
The Management's decision regarding payroll administration, recoveries, attendance verification, and Full & Final Settlement shall be binding on all employees, subject to applicable law.
